Steal these. Every template follows the same rules: the donor is the subject, the outcome is concrete, and there is no ask anywhere. Fill every [bracket], sign with a real name, and send within 48 hours of the gift. In Penelope Burk’s research, prompt personal thanks lifted the next gift by 39%.
Merge-field convention: [First name], [Amount], [Organization], and one [specific outcome] from your own programs. If you send by mail, add the date and a handwritten P.S., the most-read line in any letter.
The everyday workhorses
1 · First-time donor
Dear [First name],
Your first gift arrived today: $[Amount]. I wanted you to hear from a person, not a system. Thank you.
Because of you, [specific outcome, e.g. "two more nights of shelter are covered for a family at our Portland house"]. That is what your gift does this week.
You'll hear from me again soon, not to ask for anything, but to show you what your gift made happen.

2 · Repeat donor

Make them impossible to ignore
A letter is the floor, not the ceiling. The organizations winning on retention treat the thank-you as an experience: the donor’s name in the story, the numbers their gift touched, a page they can open on their phone and share. Questions
Can I use these templates as my tax receipt too?
Yes. Add the IRS acknowledgment elements (organization name, gift amount, and the goods-or-services statement) at the bottom, the way the year-end template here does. The IRS prescribes contents, not format.
How personal do these need to be before sending?
At minimum: real first name, real amount, and one outcome specific to your organization. The templates mark every slot with [brackets]. A letter with an unfilled bracket is worse than no letter.
Should thank-you letters ever include a donation ask?
No. Every template here is deliberately ask-free. The research case is simple: gratitude followed by a report-back earns more at the next appeal than a thank-you that asks.
